Smile Club (Pty) Ltd, trading as Smile Club Veneers (“we”, “us” or “our”), respects your privacy. This policy explains how we handle personal information when you use www.smileclubveneers.com, contact us, look for a provider or enquire about our dental laboratory services.
We collect the information you choose to give us, such as your name, email address, telephone number, practice details and the contents of your enquiry. If you request a provider introduction or ask us to contact your dentist, this may include your location and your dentist’s contact details.
For provider onboarding, accounts and case work, we may receive practice, billing, delivery and order details. Dentists and authorised case partners may also submit prescriptions, photographs, scans, shade information and other dental records needed for a case. These records may contain health-related or special personal information. Please use the case-submission channels provided to your practice rather than sending clinical records through a general website enquiry.
Our website and service providers may collect technical information, including IP address, browser and device details, pages visited, referral source and interactions with the site. Optional analytics and advertising technologies are subject to your consent choices where required.
Information may come directly from you when you email, call, complete a form or communicate with us through another channel; from your dentist or another authorised person involved in a case; and from website technologies and the service providers that support them.
The site links to or embeds services including the Active Aligners provider locator and an external provider-onboarding form. When you use these services, their own privacy notices and settings may also apply. An external website may receive technical information when its content loads or when you follow a link.
We process information on an appropriate lawful basis, which may include your consent, performing a contract, complying with a legal obligation or a legitimate interest permitted by law. Visiting the website does not, by itself, give consent to every form of processing or to optional marketing cookies.
Necessary technologies support website operation, security and saved privacy choices. Optional tools, including Google Analytics and Meta advertising tools, help measure website use and campaign performance and support relevant advertising. Information processed by these tools can include device information, identifiers and website interactions.
You can accept or reject optional categories using the website’s consent controls when the choice is displayed. To make a new choice later, clear this website’s saved cookies in your browser settings and reload the page to see the choice again. Browser settings and the advertising platforms’ own controls provide additional choices. Rejecting optional tracking does not stop you browsing the site. Withdrawing consent applies to future consent-based processing; it does not undo processing that was lawful before withdrawal.
We do not sell your personal information. We share it only where needed for the purposes described here, including with dentists or practices involved in your request, authorised laboratory and case partners, relevant Smile Club group personnel, and providers of hosting, communications, forms, analytics, marketing, payment, delivery, IT and security services.
We may also disclose information where required by law or a lawful authority, to protect legal rights, or as part of a lawful business transfer. We take reasonable steps to require appropriate protection when service providers process personal information on our behalf. Your treating dentist is responsible for their own practice records and privacy obligations.
We serve providers internationally. Case partners and technology providers may process information outside South Africa. Where information is transferred internationally, we take reasonable steps to apply the safeguards required by applicable privacy law.
We use reasonable technical and organisational measures to protect personal information. No website, email service or electronic storage system can guarantee absolute security.
We retain information only for as long as reasonably needed for its purpose and applicable legal, clinical, accounting or contractual record-keeping requirements. When it is no longer required, we take appropriate steps to delete or de-identify it. This policy does not promise that clinical or legally required records can always be deleted immediately.
Subject to applicable law, you may ask to access or correct your information, request deletion, object to processing, withdraw consent or opt out of direct marketing. We may need to verify your identity and explain any legal reason why we must retain particular records.
For a request or privacy concern, email smile@smileclub.co.za. You may also raise a complaint with South Africa’s Information Regulator or the relevant authority where you live.
We may update this policy when our services or legal requirements change. The latest version and its update date will appear on this page.
